Regularly Audit your QuickBooks Activity

Monitor your QuickBooks transactions by emailing yourself the Audit Trail Report every week.

The QuickBooks Audit Trail report provides a complete record of every entry made in QuickBooks, including additions, modifications and deletions. All that detail can lead to a massive report, but reviewing at the transaction level is the best way to identify fraud and other anomalies in your accounting records.

To automatically schedule and email the QuickBooks Audit Trail Report from ActiveBooks:

  1. Download, install and setup ActiveBooks, if necessary.

  2. Start ActiveBooks.

  3. Select Notification > Add to open the Add Notification window:

  4. On the General tab:

    • If you have more than a single company file configured in ActiveBooks, choose the one you wish to report on in the Using field.

    • In the Send the field, select the Audit Trail Report from the list.

    • To avoid having to review a massive and unwieldy report, we recommend adjusting the For field to a reasonable time frame. Last Week works for us as we intend to send the report weekly.

    • In the To field, enter your email address. ActiveBooks will deliver the Audit Trail report to all addresses listed in this field, so feel free to include your accountant, bookkeeper, etc. Be sure to separate each address with a comma (,).

    • And finally, in the Every field, specify when you would like the report to be delivered. We have scheduled it for once a week, on Monday mornings - to go with our second cup of coffee!

  5. Click over to the Customize tab. As this detailed report may be large (and having the ability to search it may be convenient), consider delivering it as an Excel spreadsheet. To do so, check the Instead of including the report in the body of the email message box and select the An Excel file (*.xls) option.

  6. We are now done configuring the Audit Trail report in ActiveBooks so click the Save >> button to record your settings. In a second or two, an entry for Audit Trail Report (Last Week) will show up in the ActiveBooks window.

    You can see that it is patiently waiting until next Monday at 7, when it will spring into action and email you the report.

  7. That's it! From now on, your company's Audit Trail report will be automatically delivered to your email inbox every Monday morning. Feel free to preview the report (by selecting Notification > Preview...), or edit it to change the schedule, add email addresses, and much more.
