How to Schedule the QuickBooks Vendor Balance Report Weekly by Email
Easily keep track of outstanding bills for all your vendors, even when you're away from the office.
The QuickBooks Vendor Balance Report summarizes how much you owe each vendor, with the total obligation to all vendors at the bottom:
To email the Vendor Balance Report regularly from ActiveBooks:
-
Download, install and configure ActiveBooks, if necessary.
-
Start ActiveBooks.
-
Select Notification > Add to open the Add Notification window:
-
On the General tab:
-
In the Using field, select the QuickBooks company file you wish to report against. Note that if you only have one company file configured, it will already be selected and you don't have to do anything.
-
In the Send the field, choose the Vendor Balance Summary entry. (You can also choose the Vendor Balance Detail Report if that is more appropriate.)
-
In the To field, enter the email address to receive the QuickBooks report. Separate multiple addresses with a comma.
-
And finally, in the Every field, select the day of the week on which to send the report. Mondays at 7 AM work for us but you should adjust the day and time to whatever suits your busy schedule.
-
-
Click the Save >> button. In a couple of seconds, an entry titled Vendor Balance Summary will show up in the ActiveBooks window.
-
That's it! Your Vendor Balance Report report will be automatically emailed to you every Monday @ 7 AM. Feel free to preview the report (by selecting Notification > Preview...), or edit it to limit by class, email a PDF, etc.
