How to E-Mail the QuickBooks Collections Report Automatically

Track your collections (and get paid quicker) without having to log in to QuickBooks every week.


The QuickBooks Collections report highlights all overdue invoices and statement charges by customer or job. Look to this report when you want to see the money owed to your business, all in one statement.

The Collections report even includes customer contact information and phone numbers, so you can take immediate action even when you are away from the office. Here is what it looks like in the QuickBooks Report Center:



To automatically schedule and email the QuickBooks Collections Report from ActiveBooks:

  1. Download, install and configure ActiveBooks, if necessary.

  2. Start ActiveBooks.

  3. Select Notification > Add to open the Add Notification window:

  4. On the General tab:

    • ActiveBooks supports multiple QuickBooks company files. If you have more than a single company file configured, choose the one you wish to report on in the Using field.

    • In the Send the field, select the Collections Report entry. (Come back later for any of the other 100+ reports available!)

    • In the To field, enter the email address of the person that should receive the collections report. Note that you can deliver the report to as many people as you like; simply separate each email address with a comma (,).

      Consider including your sales team, customer service person, controllers, or bookkeeper - anyone who can help you chase your customers and get paid sooner!

    • And finally, in the Every field, specify when you would like the report to be delivered. We have scheduled it for once a week, on Tuesday mornings. Please schedule a daily or monthly report instead if one of those frequencies is a better fit for your business.

  5. We are now done configuring ActiveBooks so click the Save >> button to record your settings. In a second or two, an entry for Collections Report (Today) will show up in the ActiveBooks window.

    You can see that it is patiently waiting until next Tuesday at 8, when it will spring into action and send you the report.

  6. That's it! From now on, your company's Collections report will be automatically delivered to your email inbox every Tuesday at 8 in the morning. Feel free to preview the report (by selecting Notification > Preview...), or edit it to change the time, add email addresses, restrict by class, send a PDF, and much more.
