Automatically Email your Accountant the Trial Balance Report

Ensure that your company's bookkeeping is in order with the Trial balance report. Set it and forget it!


The QuickBooks Trial Balance Report shows the closing balances of General Ledger accounts at the end of a given accounting period:



To automatically email the Trial Balance Report from ActiveBooks:

  1. Download, install and configure ActiveBooks, if necessary.

  2. Start ActiveBooks.

  3. Select Notification > Add to open the Add Notification window:

  4. On the General tab:

    • Choose your company file in the Using field.

    • In the Send the field, choose Trial Balance Report from the list.

    • By default, the report will include activity over the last month. Feel free to select a different period in the For field if you prefer.

    • In the To field, enter your accountant's email address. Add your own email address if you wish to get a copy as well (separate addresses with a comma).

    • Finally, configure when and how often to email the Trial Balance. We have set it to once a month on the first day but you can set it to weekly if your bookkeeper can handle more frequent updates, or quarterly if she is OK with less.

  5. By default, ActiveBooks will deliver the Trial Balance report in the body of the email. If your accountant prefers an Excel attachment, click over to the Customize tab and select that option. Note that PDF and CSV (comma separated value) formats are also available.

  6. We're done setting up the report so click the Save >> button to record the settings. After a couple of seconds, an entry for Trial Balance Report (Last Month) will show up in the ActiveBooks window.

  7. That's it! Your Trial Balance Report will now be automatically emailed to your accountant every month on the first (at 9 in the morning). Feel free to preview the report (by selecting Notification > Preview...), or update it to change the time, add an email address, etc.
